What You’ll Do

We are currently hiring for a position that is part-time, approximately 50-60% of a full-time position. Therefore, we are specifically looking for individuals who are seeking employment on a part-time basis and are available for a few hours each day. It is important to note that this position requires on-site presence at our office. While occasional remote work may be possible, the majority of the work will be conducted in our office environment.

• Provide administrative support to the company’s leadership team, including scheduling meetings & agendas, booking rooms, preparing documents, maintaining records, etc. and serve as the primary administrative and scheduling contact for the leadership team.
• Provide administrative support to the company’s Board of Directors (in coordination with partners), including scheduling meetings & agendas, booking rooms, preparing documents, maintaining records, arranging travel, etc.
• Attend monthly meetings of the Board of Directors to keep minutes and organise their signatures.
• Attend quarterly Summits of the company’s leadership team to keep minutes and prepare summary protocols for the Board of Directors.
• Perform office management functions (Lausanne office) such as mail distribution, vendor coordination, supply ordering and logistical coordination. Support the Lausanne engagement team in organising events and activities.
• Support the Finance team in preparing yearly calendars, general assemblies and information sessions.
• Manage the company’s Write an email email address.
• Handle sensitive and confidential written, electronic and oral communications discreetly. Compose high-level correspondence independently and professionally.
• Provide assistance to team members as needed.

In order to be successful in this role, you are/have:

• Commercial Employee VTB (Employé de commerce CFC), secretarial / administrative management diploma.
• Minimum of 5 years of experience in a similar position, preferably in an international fast-paced environment. A startup experience is a plus.
• Excellent professional written and spoken communication skills in English and French are essential. German is a big plus.
• Outstanding attention to details, ability to handle multiple stakeholders and to adapt to various situations.
• Optimism, “can do” attitude, discretion and service orientation.
• We are specifically looking for individuals who are seeking employment on a part-time basis and are available for a few hours each day.
• It is important to note that this position requires on-site presence at our office. Home office will be possible occasionally.
